We have successfully reduced our client’s fleet operating expenses by outlining
best industry practices with our Lifecycle Cost Projection.
This specialized budgeting tool is put together prior to the start of a lease
and offers a cross section of multiple vehicles along with all major expenses
including depreciation, fuel and maintenance. It is a look into the future as
to what can be expected with your fleet budget. The second part of the equation
is done at lease end with the Lifecycle Cost Analysis
which provides a detailed analysis of actual expenses. With this benchmarking
technique we have been able to significantly reduce fleet expenses.

SLC offers a comprehensive maintenance and repair management program for your
fleet. We monitor, control, and approve expenditures based on parameters set by
your company. This includes all major repairs to engines, transmissions, rear
axles, transaxles, air conditioners, as well as general maintenance such as
tires, brakes, and oil changes. If the work to be done exceeds the limit set by
your company, the repair facility calls our office for authorization prior to
the work being performed.

SLC has built a nationwide network of vendors with whom we have pre-negotiated
fleet pricing to reduce repair costs. When a vehicle is in need of service or
repair, we field the call taking into consideration: vehicle condition, its
projected service life, and review the repair and maintenance history in our
database.

SLC offers a quick and easy solution in the
unfortunate event that windshields or windows are broken or cracked. Drivers
simply call our national account supplier who will immediately set the driver
up with a local glass repair company in their area and bill us directly. There
is no out of pocket expense for drivers and our National Account Supplier will
work directly with SLC to ensure the situation is handled quickly and
efficiently.

Your company has the option of participating in the
expense reporting program through SLC. An expense report is automatically sent
to the driver with simple instructions on how to complete the report. The
driver then submits their receipts and reports to SLC. Reports are processed on
the same day that they are received and reimbursement checks are mailed
directly to the driver. Drivers are required to report mileage on every expense
form, so this is an excellent tool to track both personal & business
mileage.

In the event of an accident, SLC offers trained
customer service reps 24/7 which the driver is instructed to call. The fleet
manager is notified of the situation and the report process is initiated.
Complete documentation including police reports and status reports to track
progress of the vehicle repair are provided. Thousands of conveniently located
quality shops are available nationwide to handle repairs.

SLC tracks all of the registration renewals and sends
drivers a notice within 60 days of expiration to put them on notice. In states
where inspections are required, all of the necessary paperwork is sent to the
driver so that he or she may have the requirements fulfilled.
In instances where a vehicle is transferred to a different state, we prepare
all of the required documents in order to make titling and licensing the
vehicle in the new state easier.

Whether you own or lease your vehicles, SLC can assist with tracking your
driver’s personal use. Benefits of this program includes satisfaction of all
IRS requirements along with reducing the amount of time your staff spends
following up with drivers to secure this information. The final report is done
for each driver and includes their signature certifying that all information is
accurate. Each report also provides a bottom line value of the total personal
use mileage income to be added to the driver’s W-2 form.
